Swap and Signup Features

Swap and Signup
Employees can swap shifts amongst themselves or signup for open shifts

At the manager's discretion, Work Schedule Dot net can allow employees some restricted self-scheduling capabilities with our swap and sign up features. However, WSDN is always checking to make sure that the appropriate rules you have chosen are enforced, and will not allow swaps or sign ups that break your rules. For example, if an employee is not qualified for a shift, or if a shift swap would place any employee over his or her maximum hours, the swap would be disallowed. All self-scheduling features can easily be completely disabled if you are uncomfortable with them.

Employees swap feature

With the swap feature on, employees can swap shifts amongst themselves, provided they do not break any rule you have set up for swapping. An employee can login to the employee Swap area, and click on the shift(s) of another employee to "take", and his or her own shift(s) to "give". By choosing some combination of shifts to give and shifts to take, the employee creates a swap request, which is a package deal. The swap request is sent to the recipient. The recipient of the swap request must either accept the whole swap or not accept the swap at all. An employee who simply wants to get rid of a shift (or shifts) for any qualified coworker to take can choose to only give a shift (or shifts) and not take any. Then all employees will be able to see a shift available to take, and can accept the swap, within the restrictions of your rules of course. Swaps can be an exchange of one for one, one for many, or many for one: basically any combination of gives and takes.

Employees sign up for open shifts

With the sign up feature on, employees are able to sign up for open shifts, provided they do not break any rule you have set up for sign up. Open shifts are shifts that you have not assigned to an employee yet. The entire schedule could be setup as an electronic sign up sheet by leaving all shifts open, or you can leave only some shifts open that employees can sign up for. An employee can login to the Sign Up area, and click on any shift that he or she would like to take. If the sign up would result in a violation of one of your sign up rules it will be denied.

Partial shift sign up

As an additional option of the sign up feature, you can allow employees to take only part of a shift, leaving the remainder of the time still open for another employee to take. This can be helpful in certain scheduling situations. The manager can set a minimum shift size to eliminate an employee from leaving very small open shifts.
